IDP's example
IDP's task is a complaint to a pharmacy manager after being sold the wrong medicine and refused a refund. One sample demands an immediate refund and threatens a lawyer and court; IDP says this is quite aggressive for the context and that it may be better to be more indirect in a complaint. The rewrite still says why a refund is deserved but uses softer phrasing, mentioning a consumer body only as a last resort (IDP Australia).
IDP adds that tone includes cultural appropriacy: in some cultures people complain very directly, in others indirectly, so check that your complaint reads as polite in English.
Formal word choices from the same guide
IDP shows informal wording and the formal version used in the sample (IDP Australia):
| Informal | Formal |
|---|---|
| tell you something I'm not happy about | express my dissatisfaction |
| bought | purchased |
| meeting | consultation |
| fix | treat |
| find out | discover |

Make the purpose and the request clear
Being polite does not mean being vague. IDP says a good letter states its purpose at the beginning, such as writing to express dissatisfaction about an item bought, and IDP Canada says that asking for a rent refund when the bullet asks what accommodation you would prefer suggests you have misunderstood the task (IDP Canada). Frequently asked questions
Should I threaten legal action in an IELTS complaint?+
IDP calls a refund demand that threatens court action too aggressive for the situation and recommends a more indirect approach.
Is a complaint letter always formal?+
When it goes to someone you do not know, yes. IDP treats complaints to a store or pharmacy manager as formal letters beginning 'Dear Sir or Madam'.
Can I still say exactly what I want?+
Yes. IDP's rewrite still says clearly why a refund is deserved; only the phrasing becomes indirect.
How should a complaint letter end?+
With a short rounding-off sentence that suits the task, such as looking forward to a reply, then 'Yours faithfully' after 'Dear Sir or Madam'.
