Langworth Facilities Rules for Company Vehicles
Skip to the questions ↓Who may drive
Langworth Facilities owns a fleet of vans and two pool cars, which are used by our maintenance engineers and by office staff who visit clients. Only employees who have been approved by the Fleet Office may drive a company vehicle. To be approved, you must have held a full driving licence for at least two years and have no more than three penalty points on it. You must also complete a short online driving course before your first journey.
Booking a vehicle
Pool cars should be booked through the staff intranet at least one working day in advance. Bookings for a whole week are allowed only when you are working away from the office. Vans are assigned to engineers on a permanent basis and do not need to be booked, but an engineer's van must not be lent to another member of staff without the agreement of the Fleet Office.
Before you set off
Before every journey, walk around the vehicle and check the tyres, lights and windscreen for damage. Record the mileage and the fuel level on the sheet kept in the glove box. If you find a fault, do not drive the vehicle; report the problem to the Fleet Office, who will arrange a repair or a replacement as quickly as possible.
Fuel and costs
Each vehicle has a fuel card, which may be used only for fuel and screen wash for that vehicle. Parking charges and tolls should be paid by the driver and then claimed through the normal expenses system, with a receipt. Fines for parking or speeding are the responsibility of the driver and will not be paid by the company under any circumstances. Please fill the tank before returning a pool car if it is less than a quarter full.
Private use
Company vehicles are provided for business journeys. Engineers who are on call may take their van home overnight, but they may not use it for personal trips, such as shopping or taking children to school. Pool cars must be returned to the office car park at the end of each working day unless the Fleet Office has given permission for an overnight stay. Any misuse of a vehicle may lead to the loss of your driving approval.
Accidents
If you are involved in an accident, stop and make sure that everyone is safe. Exchange details with any other driver involved and take photographs of the scene if possible, but do not admit fault. You must telephone the Fleet Office within two hours and complete an accident report form within forty-eight hours. Every vehicle carries a copy of the form in the glove box.
