Band 8 sample letter
Dear Mr. Henderson,
Please accept my sincere apologies for being unable to attend the upcoming product presentation next Thursday. I am disappointed to miss such a significant milestone for our development team after all our hard work.
Unfortunately, I have been summoned for jury service during that week. As this is a mandatory legal obligation, I have no choice but to fulfil my duties. I have already contacted the court to see if a deferral is possible, but given the short notice, my request was denied.
However, I am fully committed to ensuring our presentation remains a success. I have already finalised the technical slides and uploaded them to our shared drive. Furthermore, I have recorded a ten-minute video walkthrough of the backend architecture, which you can play during the Q&A session should any complex queries arise regarding the integration. I will also be available via instant messaging throughout the day to support the team remotely.
Thank you for your understanding regarding this unexpected conflict. I look forward to hearing about the feedback from the stakeholders.
Best regards,
Julian Thorne

Why this scores well
This letter achieves Band 8 by addressing all bullet points with specific, natural details while maintaining a consistent semi-formal tone appropriate for a manager. A common Band 6 mistake is failing to provide a concrete, logical reason for the absence or neglecting to offer a specific, practical alternative for contributing to the event.
- Write to someone you know but not closely, such as a manager, landlord or neighbour, using their title and surname.
- Polite and friendly at once: a few contractions are fine, slang is not. Close with Yours sincerely or Kind regards.
- State the purpose in the first two sentences; small talk costs words you need for the bullets.
